1. About this policy
This Privacy Policy explains how Get Ride Fast (ABN 17 409 947 522, NSW Booking Service Provider 448722) handles personal information. It applies to information collected through our website, email, telephone, WhatsApp, booking communications and transport services.
We aim to manage personal information openly and carefully in accordance with applicable Australian privacy requirements. This policy is also intended to give every customer clear information about our practices, whether or not a particular privacy law applies to a specific interaction.
2. Information we may collect
Depending on your enquiry or booking, we may collect:
- your name, telephone number and email address;
- pickup and destination addresses, dates, times, stops, route details, return-journey details and selected vehicle type;
- first and last name, country calling code, flight number, passenger and luggage quantities, journey notes and information about how you heard about us;
- passenger names, contact details, accessibility requirements, mobility aids and assistance needs;
- flight, cruise, hospital, insurer, case manager or referring organisation details relevant to the journey;
- quotation, fare, payment, invoice and transaction information;
- correspondence, feedback, complaints and records of service;
- limited driver and vehicle operations information, including business contact details, address, ABN where applicable, availability, permitted vehicle types, registration, colour, capacity and relevant licence, accreditation, insurance or inspection expiry dates.
- driver recruitment information, including contact details, residential address, preferred service areas, availability, relevant experience, ABN, licence expiry, vehicle access, colour and registration, and privately uploaded driver, police, Driver Vehicle Dashboard (DVD form), insurance and registration documents.
- driver-portal information, including the signed-in email used to match an approved driver profile and records of booking offers, acceptance or decline decisions, selected vehicles and action times.
- technical information processed by our website and security providers, such as IP address, browser or device type, access time and requested page.
3. Sensitive and health information
Some medical, insurance or assisted-transport bookings may require limited health, disability, mobility or accessibility information so that we can assess and provide a safe and suitable journey. This may be sensitive information under privacy law.
We seek to collect only information reasonably necessary for the transport service and, where required, with your consent or other lawful authority. Please do not send medical records or unnecessary sensitive information through the website booking form. Contact us directly if you need to discuss a passenger's requirements.
4. How we collect information
We usually collect information directly from you when you submit or send a booking request, call, email, message us, request a quotation, travel with us or provide feedback.
We may also receive information from a person booking on a passenger's behalf, including a family member, employer, insurer, hospital, case manager, travel coordinator or other authorised representative. The person providing another individual's information should have authority to do so and make this policy available to that individual.
5. Why we use personal information
We may collect, hold, use or disclose information to:
- respond to enquiries and prepare quotations;
- assess, arrange, confirm, modify and deliver transport services;
- communicate with passengers, customers, payers and authorised representatives;
- support passenger safety, accessibility and appropriate vehicle arrangements;
- allocate suitable drivers and vehicles, identify scheduling conflicts and retain an operational allocation history;
- assess driver applications, contact applicants, record recruitment decisions and complete admin-led driver and vehicle onboarding;
- authenticate approved drivers, provide their allocated journey details and record allocation responses and vehicle choices;
- calculate routes, journey times and future fare estimates;
- process payments and maintain tax and business records;
- manage lost property, feedback, complaints and disputes;
- operate, secure, diagnose and improve our website and services;
- meet legal, insurance, safety and regulatory obligations.
6. If information is not provided
You may choose not to provide personal information. However, if we do not receive information needed to identify the journey, communicate with you, assess passenger requirements or provide a safe service, we may be unable to quote, confirm or complete the booking.
7. When information may be shared
We may share relevant information with drivers and service providers involved in arranging or delivering the requested journey. Where a booking is made, managed or paid for by an insurer, employer, hospital, case manager, travel coordinator or other organisation, we may share booking and service information with that organisation where authorised or reasonably expected.
We may also disclose information to professional advisers, insurers, payment, email, technology and records providers, or to government, regulatory, emergency or law-enforcement bodies where required or authorised by law or reasonably necessary for safety. We do not sell or trade personal information.
8. Website and third-party services
The website booking form sends the information you enter directly to Get Ride Fast and creates a customer and booking record so that we can review and manage your request. After submission, you may also choose to send an email copy through your own email application. Booking emails and related business records may be handled through our email and technology providers, including Microsoft services.
Address autocomplete and route-distance features use Google Maps services. When you use those features, pickup and destination information is sent to Google to provide address suggestions or a route estimate. Contact through the WhatsApp link is handled by WhatsApp and Meta. Website delivery and security are supported by hosting and infrastructure providers, including OpenAI Sites and Cloudflare. The customer and booking database is available only through a sign-in-protected operations area restricted to authorised Get Ride Fast users.
The public driver application form creates a recruitment record for application review. It does not create an active driver account or approve a vehicle. Compliance uploads are stored in private object storage and may be downloaded only by an authenticated, authorised Get Ride Fast Admin. Applicants should not submit TFNs, bank details or medical records through that form.
The private driver portal uses the signed-in account email to match an active driver record. It is limited to bookings allocated to that driver and vehicles assigned to their profile. Passenger contact details are displayed only after the driver accepts a current allocation. Internal booking and case-management notes remain admin-only; drivers receive only instructions explicitly approved for their allocated journey. Acceptance and decline actions are retained in booking and audit history.

We do not currently use third-party advertising trackers or sell website visitor information for advertising.
9. Overseas processing
Some technology, communications and infrastructure providers operate globally. As a result, personal or technical information may be processed or stored outside Australia, including in the United States and other countries in which those providers or their support teams operate. Provider locations and systems may change over time.
Where applicable law requires it, we take reasonable steps in relation to overseas handling. The third-party policies linked above provide further information about their global processing practices.
10. Security and retention
We take reasonable administrative and technical steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include access restrictions for customer records and keeping an operational history of booking, allocation, driver and administrator changes. Driver compliance documents are stored separately from public website files and are not given public download links. The operations database is not intended to store payment-card details, driver banking details, tax file numbers or payroll records. No internet, email or storage system can be guaranteed completely secure.
We retain information for as long as reasonably needed for the booking, customer service, recruitment, onboarding, accounting, insurance, dispute and legal purposes for which it was collected. Driver applications are reviewed periodically and should not be retained once they are no longer reasonably needed for recruitment or related recordkeeping. When information is no longer required, we take reasonable steps to delete, destroy or de-identify it, subject to legal and recordkeeping requirements.
11. Access and correction
You may ask to access personal information we hold about you or request a correction if it is inaccurate, out of date, incomplete or irrelevant. Contact us using the details below and provide enough information for us to identify the relevant records. We may need to verify your identity before responding.
We will respond within a reasonable period. If access or correction cannot be provided, we will explain the reason where required or appropriate.
12. Privacy questions and complaints
Send privacy questions or complaints to the Director using the contact details below. Please describe the concern and include your preferred contact details. We will acknowledge and investigate the matter, may request further information and will respond within a reasonable period.
If you are not satisfied with our response, you may have the right to contact an applicable privacy regulator, including the Office of the Australian Information Commissioner where the Privacy Act applies.
13. Service and marketing communications
We use contact details for communications connected with your enquiry, quotation, booking, journey, payment or customer service. We will not add you to unrelated electronic marketing merely because you requested or completed a booking. If we introduce optional marketing in the future, we will provide an appropriate choice and an easy way to unsubscribe.

We may update this policy as our services, website, providers or legal obligations change. The current version and its update date will be published on this page.
